Privacy Policy

Last updated: 4 September 2026

ReturnLoop is an Australian business (operating under an ABN) that helps service businesses send reminders and follow-ups to their own customers by SMS and email. This policy explains, in plain English, what personal information we handle and what your choices are. We follow the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs).

Your right to opt out

If you receive a message sent through ReturnLoop and you don't want any more, you can stop them at any time:

  • Text message: reply STOP to the message.
  • Email: click the Unsubscribe link at the bottom of the email.

This is free and takes effect immediately. Once you opt out, all automated reminders, follow-ups, rebooking nudges and review requests stop — across both text and email. It does not affect your relationship with the business itself: they can still contact you personally about your job, booking or account.

What we collect, and from whom

Business account information. When a business owner signs up we collect their name, business name, email address, phone number, industry, and billing details needed for their subscription.

Their customers' information. Businesses add or import details about their own customers — name, mobile number, email address, service history and notes such as the vehicle or pet the service relates to. We hold this information on behalf of that business. We never collected it from you directly and we don't sell it or use it for our own marketing.

How we use it

We use this information to run the service: sending the automated reminders and follow-ups a business sets up, recording what was sent and any replies, showing reports, providing support, and billing the business for their subscription.

Businesses are responsible for their own customer lists

Each business using ReturnLoop is responsible for having a lawful basis and appropriate consent to text or email their customers, and for keeping their records accurate. We provide the tools that support compliance — including the STOP reply and email unsubscribe, which are applied automatically and cannot be turned off — but the relationship with the customer belongs to the business.

Who else sees the information

We share only what's needed to deliver the service:

  • Mobile Message (Australian SMS provider) — receives the mobile number and message text so the text can be delivered.
  • Resend — receives the email address and message so the email can be delivered.
  • Our payment provider (Stripe or equivalent) — receives the business's billing details to process subscription payments. We never store full card numbers.

We also use secure cloud hosting and database services to store the data. We don't sell personal information to anyone, and we don't share it for anyone else's marketing.

How long we keep it

We keep information for as long as the business has an account with us. If a subscription lapses or payment fails, the account is paused rather than deleted — messages stop going out, but the data stays in place so the business can pick up where they left off. If a business closes their account and asks us to delete their data, we will do so, apart from records we're required to keep (for example billing records for tax purposes).

Access, correction and deletion

Business owners can view, edit and delete their own data at any time inside the app. If you're a customer of a business that uses ReturnLoop and you'd like to know what's held about you, ask that business first — they control the record. You can also email us at info@returnloop.au and we'll help, or pass the request on to the business. We aim to respond within 30 days.

Security

Data is stored with reputable cloud providers, protected in transit, and access is restricted so each business can only ever see their own customers. No system is perfect, but we take reasonable steps to protect the information we hold.

Complaints

If you think we've mishandled personal information, email info@returnloop.au and we'll investigate. If you're not happy with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Changes to this policy

If we change this policy we'll update the date at the top of the page and, for significant changes, let account holders know by email.
